  • ABOUT THE FORUM
    • What is the Eastern Economic Forum?
      The Eastern Economic Forum (EEF) is a unique international platform for cooperation between entrepreneurs, politicians, experts, and members of the media from Russia and the Asia-Pacific region.

      In 2017, the Forum welcomed more than 6,000 participants from 60 countries, including 1,094 members of the media and 103 heads of foreign companies.
    • Forum date and location
      The main events of the EEF 2018 will take place on 11–13 September on the campus of the Far Eastern Federal University (FEFU) on Russky Island (Vladivostok).

      The FEFU is the largest institution of higher education in Far Eastern Russia and one of the fastest developing scientific and educational centres in the Asia-Pacific region.

      In 2012, the FEFU opened a new campus on Russky Island to host the APEC summit. The FEFU is now the central platform for scientific and business communication between the Russian and international expert communities in the Asia-Pacific region.

      Forum Organizing Committee

      The Chair of the Organizing Committee is Deputy Prime Minister of the Russian Federation and Presidential Plenipotentiary Envoy to the Far Eastern Federal District Yury Trutnev.

      The Roscongress Foundation is a socially oriented non-financial development institution and a major organizer of international conventions, exhibitions and public events.

      The Roscongress Foundation was founded in 2007 with the aim of facilitating the development of Russia’s economic potential and strengthening the country’s image by organizing international conventions, exhibitions, and public events. The Foundation develops substantive content for such events, providing companies and organizations with advice, information, and expert guidance, and offering comprehensive evaluation, analysis, and coverage of the Russian and global economic agendas. It offers administrative services and promotional support for business projects and helps to attract investment, including in the form of public-private partnerships.

      Today, its annual programme includes events held from Montevideo to Vladivostok, offering an opportunity to bring together global business leaders, experts, the media, and government officials in one place, creating favourable conditions for dialogue and the promotion of new ideas and projects, and assisting in the creation of social enterprise and charity projects.

    • List of prohibited items

      In order to avoid any inconvenience when accessing the Forum venue, participants are advised to leave any prohibited items at their accommodation or in their vehicle. A full list of prohibited items will be published on the website in due course.

  • FORUM PROGRAMME

    • The main theme of EEF 2018 is ‘The Russian Far East: Expanding the Range of Possibilities’. 

      The business programme will incorporate four main areas of discussion:

      • The Global Far East: International Projects for Cooperation

  • EXHIBITIONS AT THE FORUM VENUE

    • The aim of the exhibitions at EEF 2018 is to attract investors to the Russian Far East.

      The EEF 2018 exhibition space will include presentations about specific advanced special socioeconomic zones, investment projects, and measures being undertaken by federal and regional authorities to develop the socioeconomic, demographic, and investment potential of the Far Eastern Federal District.

  • PARTICIPATING IN THE FORUM
    • Registering to participate in the Forum

      To participate in the Forum, you must be in receipt of an invitation issued by the Organizing Committee.

      If you would like to take part in the Forum, please complete the registration form in the Registration section of the website. Participation requests are accepted until 2 September 2018.

      Applications will be reviewed by the Organizing Committee and, if approved, applicants will be sent by email an invitation and a letter containing a login and password to access their personal web office, together with details of the procedure for confirming their participation.

      The Organizing Committee reserves the right to refuse an invitation to an applicant without explanation.


    • I have registered on the website. What happens next?

      Once the registration form is submitted, the participant is sent an automated email confirmation. The data provided during registration is then processed.

    • Participation formats and fees

      You can find descriptions of available participation formats and information on participation fees in the Conditions for participation section of the website.


    • Limits on the number of participants from any one company

      In order to maintain the high level of representation and to accommodate growing interest in participating in the Forum, limits have been imposed on the number of EEF participants from any one company.

      You can familiarize yourself with the terms of the quota system (maximum number of participants from any one company) in the Conditions for participation section of the website.

      Partner companies of the Eastern Economic Forum are allocated an expanded quota. Additional information about participating in the Forum as a partner is available in the Partners section of the website.

    • Discounts offered for several participants from the same organization

      No discounts will be offered for participation in the EEF 2018. Within the quotas, the number of registered participants does not affect the registration fee. If the quota for the number of participants from a given company is exceeded, the participation fee will increase for each additional participant.


    • Withdrawing from the Forum

      If you change your mind about participating in the Forum after confirming your attendance, please notify the organizers by contacting your personal manager or the Eastern Economic Forum information centre: +7 (499) 7000 111.

    • Substituting participants

      A participant can only be replaced with the approval of the Forum’s Organizing Committee. In the event that a participant who has confirmed their participation cannot attend the Forum for any reason, please contact the participant’s personal manager or the Forum information centre and submit a written request to replace one participant with another, addressed to the Chair of the Forum’s Organizing Committee.


    • Participating in the Forum as a moderator or speaker

      To participate in the Forum as a moderator or speaker, participants must send a request to the programme preparation working group by emailing programme@roscongress.org. Please include the participant’s contact details, position, and organization, as well as a brief abstract of their speech on their chosen topic.

      If the application is submitted after the Forum programme architecture has been published online, please indicate precisely where the speech would fit within the programme.

  • PAYMENT OF PARTICIPATION FEES

    • Each Forum participant concludes an agreement, confirming and guaranteeing their participation in the event. In order to create an agreement and select a payment method for the participation fee, please visit the Payment section of your personal web office. There are two payment methods:

      1. Payment by invoice

      2. Payment by bank card

  • PERSONAL WEB OFFICE
    • What is the personal web office?

      The personal web office is the participant’s very own section of the official EEF website, and offers a range of features allowing them to plan their time at the Forum.

      In order to access the personal web office, you will need to enter the personal login and password provided in the letter you received along with your invitation to the Forum.


    • Login and password for the personal web office (for registered participants only)
      • A personal login and password are required to access the personal web office. Once a participant’s data has been processed following submission of the registration form, they are sent an invitation to the Forum and a letter containing their login and password.

      • Should a participant lose or forget their login and password, they may contact their personal manager for them to be reissued. A participant can confirm the contact details of their personal manager by calling the EEF information centre: +7 (499) 7000 111.

    • What can the personal web office be used for?

      Participants can use their personal web office to:

      • Edit their personal data

      • Upload a badge photo

      • Create an agreement and pay the participation fee

      • Submit a request for services (text message notifications, tours, theatre tickets, etc.)

      • Schedule meetings at the Forum venue

      • Submit an accreditation request for a personal vehicle

      • Register for events on the cultural and sporting programme

    • Confidentiality of data entered into the personal web office

      The Eastern Economic Forum strictly adheres to legal requirements for the protection of every participant’s personal data.

      The personal web office has been developed using SSL data encryption to ensure the security and confidentiality of your personal information.

    • Badge photograph

      You can upload the photograph for your badge in the personal web office.

      Photograph requirements:

      • Colour photograph on a white background, in JPEG format

      • 480x640 pixels in size

      • Resolution (image quality) of 300 dpi

      • Frontal view of your entire face, with your head uncovered

      • Face makes up at least 70% of the photograph

    • Changes to personal information

      To make changes to your personal information after you have completed the registration form or submitted your data via the personal web office, please contact the EEF information centre or your personal manager. The contact details for your personal manager can be found in your personal web office.


    • Payment of participation fees

    • Accreditation request for a personal vehicle

      To obtain accreditation for a personal vehicle, a participant should visit the corresponding section of the personal web office and create a new request.

    • Day planner

      The Planner section of the personal web office allows participants to build a personal schedule, and plan and arrange business meetings at the Forum venue. This feature goes online two weeks before the Forum.

      • Visit the ‘Create meeting’ and ‘Invites’ sections to arrange meetings and view received and sent invitations.

      • If there is an event on the Forum programme you wish to add to your personal schedule (whether in the business, cultural and sporting programme; press events programme; or NGO Lab programme), visit the ‘Programme’ section and select the event of interest.

      • If there is an event you wish to add to your personal schedule which does not form part of the official Forum programme, select the ‘Create event’ option.

      The ‘Day planner’ section will also be incorporated in the EEF 2018 mobile app, and will be available for free download from the App Store and Google Play two weeks before the Forum.

    • Registration for events on the cultural programme

      The personal web office includes a ‘Cultural programme’ section, where participants can find out about accessing separate events on the Forum cultural programme.

      A number of events will require advance registration. To sign up for an event, click the ‘Confirm’ button opposite the event of interest. You may also decline to participate in an event by clicking the ‘Decline’ button.

      This feature goes online closer to the dates of the Forum.

    • Registration for events on the sporting programme

      The personal web office includes a ‘Sporting programme’ section, where participants can find out about accessing separate events on the Forum sporting programme. A number of events will require advance registration. To sign up for an event, click the Confirm Attendance button opposite the event of interest.

      This feature goes online closer to the dates of the Forum.

    • Booking theatre tickets

      You may book theatre tickets in the corresponding section of the personal web office. To submit a request, select the event of interest from the list, and provide contact details for ticket collection.

      Please note that tickets must be paid for separately.

    • Booking tours

      You may submit a request for individual tour services in the corresponding section of the personal web office.

      To submit a request, select the tour of interest from the list, and provide contact details to confirm arrangements.

    • Mobility assistance at the Forum venue

      If a participant requires mobility assistance at the Forum venue, please submit the relevant request via the personal web office no later than three days before your arrival.

  • ACCREDITATION (BADGE COLLECTION)
    • What is the accreditation procedure?

      Accreditation includes participant registration, approval by the EEF Organizing Committee and issue of an accreditation badge.


    • Participant accreditation badges

      Due to security measures in place at the Forum venue and at cultural and sporting programme event locations, all participants must be issued with an accreditation badge.

      The badge is a pre-programmed proximity card, a unique key linked to the participant’s information in the Forum’s database. The badge contains the following data about the holder: name and surname (in Latin characters), organization, level of access, photograph, and the Forum logo.

      Accreditation badges are issued to specific individuals and are not transferable. You should keep your badge and ID with you at all times during the Forum. Your badge is the only document confirming your accreditation as a Forum participant.

    • Conditions for issue of badges

      Before collecting your badge, please ensure that:

      1. You have confirmed your participation in the Forum via your personal web office

      2. You have accurately provided all required information about yourself in your personal web office

      3. You have uploaded a badge photo to your personal web office or have already submitted a photo to the organizers in the required format (a colour photograph on a white background, in JPEG format, 480x640 pixels in size, 300 dpi resolution (image quality), including a frontal view of your entire face, with your head uncovered, and with your face making up at least 70% of the photograph)

      4. You have paid the participation fee (for paid participants only)

      5. You have an assigned seat in the plenary session hall (for Premium Package participants only)

      You can check whether your accreditation badge is ready for collection in your personal web office, by contacting your personal manager, or by phoning the Forum’s information centre on:

    • Badge collection

      Participants can collect their badge by visiting one of the accreditation points. You can familiarize yourself with the location of these accreditation points and their hours of operation in the Participant accreditation section of the official website closer to the date of the Forum.

      In order to be issued with a badge, participants must present the same document used to register on the Forum website (usually a passport).

      Accreditation officers will check registration details to ensure that they are accurate and up-to-date before issuing badges. In the event of any discrepancies, it will not be possible to issue badges on that day.


    • Documents required to collect a participant badge

      A participant badge can only be collected upon presentation of the ID (passport) used for registration on the website.

      If there have been any changes to your ID document since registration, please inform the Forum organizers via your personal manager, so that they can make the necessary changes to the data indicated in the personal web office.

    • Badge collection by proxy

      If someone else will be picking up your badge by proxy, they will need to present:

      • A document confirming their identity (a passport)

      • An original standard power of attorney form

      • A list of all participants whose badges the proxy is collecting (attached to the completed power of attorney)

      • Copies of the passports of participants whose badges the proxy is collecting (copies of passports will be returned once badges have been issued)

      The power of attorney form and a completed example will be available for download from the Participant accreditation section of the Forum website closer to the date of the Forum.

    • Replacement badges

      If your badge has been lost, stolen, or damaged, please immediately inform an administrator at any information and services point, accreditation point, or Help Desk, or call +7 (499) 7000 111. The lost badge will then be blocked, and a duplicate badge will be issued to the holder by the Help Desk upon written request.

  • PARTICIPANT BAGS

    • Your EEF participant bag contains a set of information materials about the Forum and souvenirs from the Forum organizers and partners.

      EEF 2018 bags are provided to Premium and Standard Package participants.

      Participant bags are issued upon presentation of a participant badge. Participant bags can also be collected under power of attorney by a proxy if the proxy has a badge providing access to the Forum venue.

      The power of attorney form and a completed example will be available for download from the Participant bag collection section of the EEF website closer to the date of the Forum.


  • VEHICLE AND DRIVER ACCREDITATION

    • In the period leading up to and during the Forum, vehicle access to the EEF venue will be limited. There may also be limited vehicle access to Vladivostok International Airport, official Forum hotels, and various cultural and sporting programme event venues during the Forum.

      Where restrictions are introduced, access will only be granted to vehicles with a valid EEF 2018 transportation pass.

  • TRANSPORT TO THE FORUM VENUE
    • Arriving in Vladivostok

      Arrival options include Vladivostok International Airport, and sea and rail terminals. More information on transport routes to the city can be found in the How to get to Vladivostok section of the Forum website.

    • Book airline tickets

      Aeroflot, the official air carrier of the Eastern Economic Forum, proposes Forum participants book seats along the following routes:

      • Moscow – Vladivostok from 8 to 11 September 2018

      • Vladivostok – Moscow from 13 to 16 September 2018

    • Transport to the Far Eastern Federal University

      Participants can get to the Forum venue in any of the following ways:

      • Via free official Forum shuttles. Shuttles for Forum participants will run from 11 to 13 September between the Far Eastern Federal University, Vladivostok International Airport, official Forum hotels, and the city centre.

      • Via rented vehicle. Participants may hire an accredited vehicle with a driver via the Forum’s official transport services operator.

      • Via personal accredited vehicle. Forum participants may obtain accreditation for a personal vehicle in order to access the Far Eastern Federal University campus. More information on terms and conditions can be viewed in the Accreditation of Personal Vehicle section of the personal web office, where applications for vehicle accreditation and driver badges can also be submitted.
