Accreditation for contractors of partners

Dear partners,

This section contains information about registering representatives from your contractor company (employees, vehicles, and drivers) working within your company’s networking area during setup/dismantling, as well as for the duration of the Forum.

Employees, drivers, and vehicles of contractor companies whose work requires that they be at the Eastern Economic Forum 2021 (EEF) venue between 08:00 on 11 August 2021 and 19:00 on 30 August 2021, and/or between 00:00 on 5 September 2021 and 24:00 on 9 September 2021 must obtain accreditation for the setup/dismantling period.

Employees, drivers, and vehicles of contractor companies whose work requires that they be at the EEF venue between 19:00 on 30 August 2021 and 24:00 on 4 September 2021 must obtain accreditation for the duration of the Forum.

Please note that employees, drivers, and vehicles accredited for the duration of the Forum do not require separate accreditation for the setup/dismantling period.

To obtain accreditation for contractor employees, vehicles, and drivers:

  1. Submit an official letter on the selection of constructor.
  2. Complete the organization registration form: organization details, quotas for zones and for the setup/dismantling period; ensure it is signed by the head of the organization, and affixed with the organization’s seal.
  3. Submit a signed version of the document to the Technical Personnel and Transport Accreditation Department by no later than 21 July 2021.
  4. Receive a unique personal web office username (login) and password by email from the manager of the accreditation department.
  5. In the personal web office:
    • Complete registration forms for technical staff, drivers, and vehicles using the form that matches the intended accreditation period.
    • Upload photographs and scanned copies of identification documents for all technical staff and drivers.
  6. Please provide a completed, original copy of the Consent to Processing of Personal Data form for each staff member/driver to the Accreditation Department in advance. (The form can also be downloaded from the personal web office).

Requests for accreditation of employees, drivers, and vehicles will be open until 28 July 2021.

Changes and additions to the lists must be agreed with the Roscongress Foundation division head and may be made until 30 July 2021. After 30 July 2021, changes and additions may be made only with the approval of the Forum Director.

Please keep the following information in mind when working in the personal web office:

  1. Photographs and scanned copies of an identification document are required for all technical staff and drivers that will need to be at the EEF venue for work purposes and are a mandatory part of the accreditation process.
    Photographs must meet the following requirements:
    • Size: 480x640 pixels
    • Colour, on a white background, suitable for documents .jpg or .jpeg file
    • Subject must be facing the camera, with no head covering
    • The face must fill at least 70% of the photograph

    Scanned copies of identification documents must meet the following requirements:

    • All of the data provided during registration must be present, including:  full name, document series and number, date and place of birth, photograph.
    • The scanned copy is easily legible.
  2. A blank version of the Consent to Processing of Personal Data (link to download file: EEF-21_Consent to the processing of personal data) form can also be downloaded in the ‘Collecting accreditation package’ section of the personal web office.
  3. If a driver has been registered in the accreditation application as an employee, you do not need to list them again for accreditation as a driver.
  4. If a technical staff member/driver/vehicle has already been registered in the application for the duration of the Forum, then they don't need to be entered a second time into the accreditation list for the setup/dismantling period.
  5. The accreditation application for trailers must be submitted separately.
  6. In order to make any changes, a request must be emailed to the relevant manager.
  7. If an employee/driver/vehicle has been replaced, you must first delete the corresponding employee/driver/vehicle record and complete a new form in its place.
  8. Replacing or removing a technical staff member/driver/vehicle that has already received a badge must be done through the Accreditation Department specialist assigned to your organization.

The Forum Organizer reserves the right to deny any accreditation application without explanation.

Collecting Accreditation Documents

Temporary passes for the setup/dismantling period and staff and driver badges and transport passes are issued in a single accreditation package (AP).

The AP can be collected from 10 August 2021 to 4 September 2021 at the Technical Staff, Driver, and Vehicle Accreditation Point, only after agreeing upon a date and time in advance with the Accreditation Department specialist assigned to your organization.

The AP will be delivered to a designated individual upon presentation of:

  • A passport,
  • A power of attorney,
  • The list accompanying the power of attorney (a sample power of attorney and the personnel lists can be printed from ‘Collecting accreditation package’ section of the personal web office).

To replace a lost badge/pass, complete a request for a duplicate badge/pass. The decision about whether to issue a duplicate will be made on a case by case basis. Please note that if an accreditation document must be reissued by fault of the contracted organization, the Forum organizers have the right to fine that organization in the amount of RUB 30,000 for each reissued accreditation document.

Badges/passes may NOT be collected in person by individual employees/drivers.

In order to prevent the spread of the novel coronavirus COVID-19, EEF will be conducted in accordance with the recommendations of the World Health Organization (WHO) and Rospotrebnadzor (the Federal Service for the Oversight of Consumer Protection and Welfare).

Forum organizers are developing COVID-19 prevention measures in close cooperation with Rospotrebnadzor.

Compliance with all preventive measures will ensure that the Forum is safe for all to attend.

Please note that the Forum venue can only be accessed upon presentation of an accreditation badge/permit that has been activated by a negative PCR test result for COVID-19, obtained in line with established procedures. More information about testing procedures will be published on the website in due course.
